About the role

Team: This pivotal role directly supports the ISSB Chair, working in close collaboration with the ISSB Chair's Counsellor. It requires seamless coordination with colleagues across multiple global locations, fostering effective communication and teamwork within the IFRS Foundation and ISSB. The position demands a high degree of professionalism, adaptability and cultural sensitivity to navigate the complexities of an international organisation dedicated to sustainability standards.

Reports to: ISSB Chair

Key responsibilities

Diary management: Extensive, planning, proactive, flexible diary management in a rigorous manner and across multiple time zones with frequent and strong follow-up, and close coordination with the Chair’s Counsellor. The objective is to optimise the ISSB Chair time and ensure his smooth day-to-day external engagements and collaborative work within the IFRS Foundation and ISSB.

Punctuality and time-keeping: Ensure, depending on circumstances, that the ISSB Chair is on time for the next engagement/travel.

Complex travel arrangements and logistics: Organise frequently changing domestic and international travel arrangements, booking transport and accommodation meeting the ISSB Chair specifications, securing visas and other travel documentation. Ensure bookings comply with the Foundation's travel policy. Flight check-in. Monitor transport (public/taxi/rail/flight) and adapt the ISSB Chair schedule in real time, in case of delay.

Meeting coordination: Manage virtual and in-presence meetings logistics: provide and/or double check dial-in details, book appropriate meeting rooms, and handle restaurant arrangements.

IT support and troubleshooting: Provide proactive IT support (launch virtual meetings, help solving specific issues, etc;) and liaise with helpdesk when necessary.

Visitor reception: Welcome external visitors when applicable.

Expense management and reporting: Process professional expenses of the Chair monthly, and pre-approve travel and expense claims of the ISSB Chair reports.

Administrative tasks: Record external engagements in Salesforce on a weekly basis. Deal with all administration: managing correspondence and drafting responses as required, get approval on signatory requests, document management, Notes management, contact management and updates, business cards, etc.

Internal and external stakeholder engagement: Liaise with internal staff (eg other support staff, senior management, board members and Trustees) and external stakeholders at all levels (eg officials from government, senior figures from regulators, the accounting profession and other international bodies).

Support: Provide support to Chair’s ISSB-related and French ecosystem engagements (10% of time): manage personal Outlook mailbox, correspondence, calls, meetings and logistics, including Club of Rome, Musée du Louvre, etc.

Skills, experience & qualifications sought

  • Extensive and proven experience of supporting a senior-level executive (Executive Committee Member, or higher) in an international environment and managing extremely complex travel and meeting arrangements across time zones is essential.
  • Exceptional reliability, planning, organisational and administrative skills with frequent follow-up.
  • High level of integrity and professionalism; ability to be discrete and manage confidential or sensitive information.
  • Ability to work collegially and effectively with staff and stakeholders at all levels, both in-person and remotely.
  • Fluency in English and French is essential. Strong communication skills are required.
  • Resourceful and proactive approach, ability to work flexibly and manage multiple and diverse responsibilities, prioritise workload appropriately, respond to conflicting demands on an urgent and ad-hoc basis, whilst maintaining composure and a high level of attention to detail.
  • Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint) and Adobe Reader is required.
  • Proficiency in iOS is appreciated.
