About the role
Reports to: Director of Fundraising & Development
The Executive Coordinator supporting the Fundraising Team, and also Trustees and Senior Management, plays a pivotal role in helping the organisation achieve its fundraising goals by providing essential administrative and logistical support.The role will initially focus on supporting the launch of a multi-year, multi-million-dollar fundraising program aimed at advancing global sustainability disclosures through the International Sustainability Standards Board (ISSB).
The Fundraising Team is located in Frankfurt and London and is responsible for securing financial contributions from international foundations, corporations, and governmental/non-governmental entities that support the adoption of IFRS standards.
Key Responsibilities
Administrative Support
- Manage calendars, schedule appointments, and coordinate meetings, including preparing agendas and taking meeting minutes.
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring timely responses and appropriate follow-up.
- Maintain organised records, files, and databases related to donors, fundraising campaigns, and grants.
Fundraising Co-ordination
- Assist in the planning and execution of fundraising campaigns / pitches, events, and initiatives, including coordinating logistics, managing guest lists, and overseeing event registration.
- Collaborate with the Fundraising Team to create and distribute fundraising materials, donor acknowledgment letters, and promotional collateral.
- Monitor fundraising progress, track donations / campaigns, and prepare regular reports for the Fundraising Team and senior management.
- Monitor pipeline of over 100 active leads and additional prospects, including meticulous record-keeping and tracking through spreadsheets or equivalent tools.
- Assist in identifying and monitoring top priority leads, clarifying next steps for each lead.
- Proactively engage with staff and Trustees to ensure the timely progression of each lead, including diligent follow-up on meetings and action items.
Internal Collaboration and Coordination:
- Foster a collaborative and positive working environment by liaising with other departments, volunteers, and external partners as necessary.
- Provide support for fundraising team meetings, workshops, and training sessions.
- Support the Fundraising Team in budget tracking and financial reporting related to fundraising activities.
Qualifications and Experience
- Previous administrative support experience at senior level, preferably in a fundraising or nonprofit environment.
- Proven ability to effectively manage projects with senior-level professionals.
- Strong organisational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- Ability to distill complex concepts into clear and concise communications.
- Proficiency in using office software, including Microsoft Office Suite and Customer Relationship Management databases.
- Attention to detail and a commitment to accuracy and confidentiality.
- Ability to work independently and as part of a team, with a proactive and problem-solving attitude.
- Adept at establishing strong internal and external relationships.
- Professionalism when working with staff with differing priorities.
- Bachelor's degree in a relevant field.
Desirable:
