About the role
Reports to: Global Tax Manager
Job purpose: We are seeking a detail-oriented and knowledgeable Payroll Manager to oversee and manage our Canadian and US payroll processes. This role is crucial in ensuring that our employees are paid accurately and on time, while maintaining compliance with relevant regulations and handling the coordination of pension, benefits and 401k programs. The successful candidate will work closely with our outsourced payroll providers and ensure the integrity of payroll data through effective oversight, reconciliation and communication.

Key responsibilities
- Manage full oversight of the Canadian payroll process, including provinces such as Quebec and Ontario, working closely with outsourced providers to ensure timely and accurate payroll processing.
- Coordinate US payroll activities, ensuring compliance with US benefits, including 401k plans.
- Validate and confirm payroll amounts to authorise payments, maintaining meticulous attention to detail.
- Oversee pension and benefits coordination for Canadian employees, ensuring accuracy in contributions and compliance with applicable regulations.
- Perform journal entries and postings related to payroll, ensuring accuracy in the company’s financial records.
- Conduct monthly balance sheet reconciliations related to payroll accounts to ensure accuracy and completeness.
- Develop and maintain payroll documentation and ensure compliance with federal, provincial, state and local laws in both Canada and the US.
- Act as the primary point of contact for payroll inquiries and resolutions, providing exceptional service and support to employees and management.
- Work collaboratively with HR and Finance departments to resolve payroll-related issues and improve processes.
- Monitor changes in regulations or compliance requirements related to payroll and implement necessary adjustments.
- Prepare reports and provide insights on payroll trends, discrepancies and projections as needed for management.
Qualifications and experience
Essential
- Proven experience in payroll management, particularly with Canadian and US payroll processes.
- Strong understanding of Quebec and Ontario payroll regulations and US payroll practices, including 401k plans.
- Proficiency with payroll software and experience working with outsourced payroll providers.
- Competency in journal postings and financial reconciliations.
- Excellent organisational skills and high attention to detail.
- Strong communication skills, both written and verbal, with the ability to communicate complex payroll information clearly and effectively.
- Knowledge of compliance requirements and ability to keep abreast of changes in payroll laws and regulations.
Desirable
- Bachelor’s degree in accounting, finance, human resources or a related field, preferred.
- Certified Payroll Professional (CPP) designation or similar certification is an asset.
